Office Manager

Triad Engineering, Inc. is seeking a full-time Office Manager in our Morgantown, West Virginia office.

The Office Manager manages key business processes with administrative tasks as assigned and represents Triad in initial contact with callers and visitors.

The Preferred Candidate Will:

    • Manage a range of basic office support activities, such as answering phones and directing calls, greeting, and directing clients/visitors, answering questions, and performing routine clerical, data entry, mail sorting, maintaining office supplies, and other miscellaneous job duties as assigned.
    • Assist Practice Leaders with project scheduling, invoicing, timecard, and expense report management.
    • Assist Business Development with proposal coordination- review RFP details with the team, organizes information from prior project experience.
    • Facilitate technical and creative writing, assist with the layout and design of the proposal for visual appeal, update resume information as needed, and works with the team to ensure completion on time.
    • Maintain an organized filing system for proposals, project sheets, and team member resumes.
    • Assist in the coordination of exhibit/convention planning and/or Business Development activities.
    • Perform functions of a Customer Relation Management (CRM) administrator.
    • Proofread, edit, and revise reports, memos, and other correspondence.
    • Support the CEO, CAO, and members of executive staff with special projects.
    • Perform all other sales, marketing, accounting, and operations duties as assigned.

QUALIFICATIONS

Education

  • High school diploma or equivalent required.
  • Associates or bachelor's degree preferred.

Experience

  • Three (3) years related experience.

Additional requirements

  • Must possess a valid driver's license and the ability to safely operate a motor vehicle or have reliable transportation to / from the workplace.
  • Must have the ability to read, write, and perform basic math Must be comfortable working with computers and general office equipment (i.e., copier/scanner/printer, fax, label maker, binding equipment).
  • Must possess basic to intermediate computer skills including familiarity with Microsoft Office programs (Word, Excel, Outlook, PowerPoint, Publisher)
  • Must be comfortable communicating with the public.

This position routinely operates in an office environment, using standard office equipment such as computers, phones, photocopiers and fax machines. Position involves extensive sitting. Some filing is required, which necessitates the ability to lift files, open filing cabinets, stoop, kneel or bend, climb, stand, and balance on a stool as necessary. Employee is regularly required to talk or hear and is frequently required to stand and walk, use hands to finger, handle or feel, and reach with hands and arms. Vision abilities required include close vision, distance vision, depth perception and ability to adjust focus. Must have the ability to frequently push, pull, lift and/or carry up to 10 pounds; occasionally up to 25 pounds.
